Your organization sees your patients’ data, and within it, each person according to their role. This page explains who else can see it and how to check who has access.
Only your organization
Everything you do in Arbol is for the organization you chose when you signed in. Another organization doesn’t see your data, and you don’t see theirs, even if you work in both: when you switch organizations, everything you see changes. See Sign in to Arbol.
Within your organization, by role
Each application shows only what your role allows. These are the permissions, as Account names them, that open your patients’ data:
| Data | Permission that opens it |
|---|---|
| Raíz’s conversations, transcripts and recordings | See conversations and listen to calls |
| Raíz’s overview and reports (figures, not conversations) | See the overview and reports |
| Raíz’s people | View: access to People. Change or delete: Edit contacts |
| Agenda’s schedule, patients, their notes, their files and reports | See the schedule, patients, their notes and files, and reports, which every Agenda role has |
| Ámbar’s sensitive clinical information | Access sensitive clinical information |
In Ámbar, your profile and its scope, such as your program, your site or your institution, also decide which people you see.
To check who has access: in Account, open Team, choose the application’s tab and expand What each role can do to compare the roles permission by permission. Your own access is under Profile, in Your access. See Roles and permissions.
What leaves the applications
Some data leaves Arbol for specific people. Whoever sets it up or downloads it decides who gets it:
- Automatic emails and notices, such as Raíz’s notices and daily report or Agenda’s daily PDF agenda, go to the people who were chosen, whether or not they have a role in the application. See Get notices and the daily report.
- PDFs and exports, such as a conversation’s report or the PDF agenda, stay on the computer of whoever downloads them.
- What you share in Arbi with The whole organization is seen by everyone in your organization, whatever their role.
How to handle them is in Safe use and patients’ data.
Connected systems
When an agent checks or books something in one of your clinic’s systems, or checks something with an insurer, it uses your organization’s connection to that system: the data the task needs travels between Arbol and that system. Your organization’s connections, and what each can do, are in See the integrations.
Arbol’s team
Arbol’s team helps you with the platform and, when your institution asks, with specific cases. The Trust Center says: “On Arbol’s side, production access is restricted, justified case by case and recorded in the audit log.”
If you see someone on Raíz’s team with the Arbol support role, that’s Arbol’s team helping you with the platform; Arbol manages that role.
Arbol’s providers
According to the privacy policy (Colombia, in Spanish), Arbol shares data only with the providers strictly needed to run the service (telephony, messaging, voice and AI processing, authentication, payments and storage), all under contracts that limit the use of the data to providing the service. Some are outside Colombia, mainly in the United States. The policy also says Arbol shares data if a competent authority requires it by law.
